These Terms of Service ("Terms") govern your use of the AI employee services provided by Huffman AI Solutions LLC ("Huffman AI," "we," "us," or "our"). By using our services, you ("Client," "you") agree to be bound by these Terms.
Huffman AI Solutions provides AI employee agents for recruiting firms. Our AI employees connect to your authorized email (Gmail/Outlook), calendar, and CRM systems to perform recruiting tasks on your behalf, including:
- Email management, drafting, and sending
- Interview scheduling and coordination
- Candidate nurturing and follow-up
- Daily briefings and reporting
- CRM updates and pipeline management
- Candidate research and pre-screening
As a client, you agree to:
- Provide accurate and complete information during onboarding
- Ensure you have proper authorization to grant AI access to your email, calendar, and CRM systems
- Review and approve AI-generated communications as required by your configured approval workflow
- Notify us promptly of any security concerns or unauthorized access
- Maintain the confidentiality of your account credentials
You may not use our services to:
- Send unsolicited bulk emails or spam
- Engage in any illegal, fraudulent, or deceptive activity
- Harass, threaten, or harm any individual
- Violate any applicable laws, regulations, or third-party rights
- Attempt to reverse-engineer, copy, or redistribute our AI systems
Violation of this policy may result in immediate termination of service.
- Monthly fee: $2,000 per month per AI employee (Solo Recruiter plan). Agency pricing varies by seat count.
- Billing cycle: Monthly, billed at the start of each service period
- Cancellation: You may cancel at any time — no contracts, no cancellation fees
- Partial months: No refunds are provided for partial months of service
- Payment methods: We accept standard business payment methods as communicated during onboarding
- ✓ Duration: 2–4 weeks, determined during onboarding based on your needs
- ✓ Cost: $0 — completely free, including setup and configuration
- ✓ Obligation: None. If you don't want to continue after the trial, you owe nothing
- ✓ Full functionality: Trial includes complete access to all AI employee features
- ✓ We will notify you before the trial ends to discuss whether you'd like to continue
We guarantee you will save at least 40 hours total by the end of your free trial period. If you complete the trial and have not saved 40+ hours, you owe nothing — and we will pay you $500 for your time. This guarantee is subject to the following conditions:
- You must have actively used the AI employee throughout the trial period
- You must have completed the full trial duration as agreed during onboarding
- Time savings are measured through mutual review of AI activity logs and client-reported hours
- The $500 payment will be issued within 30 days of an approved guarantee claim
How We Measure "40 Hours Saved":
Time savings are calculated by tracking the AI employee's activity and comparing it to industry-standard time estimates for recruiting tasks. We count:
- • Emails drafted, sent, and managed (avg. 5 min per email)
- • Interview coordination completed (avg. 15–30 min per interview)
- • Candidate follow-ups sent (avg. 10 min per follow-up)
- • Candidate research and pre-screening (avg. 20 min per candidate)
- • Daily briefings prepared (avg. 15 min manual preparation)
- • CRM updates and data entry (avg. 10–20 min per day)
At the end of your trial, we provide a detailed activity report showing exactly what the AI handled and the time saved per task category. If the total falls short of 40 hours, the guarantee applies.
You retain full ownership of all your data at all times. Huffman AI Solutions has no ownership claim over any client data, communications, candidate information, or any other data processed through our services. See our Privacy Policy for full details on how we handle your data.
To the maximum extent permitted by applicable law:
- Huffman AI Solutions shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from or related to your use of our services
- Our total liability for any claim arising from these Terms or our services shall not exceed the amount you paid to us in the three (3) months preceding the claim
- We are not responsible for actions taken by the AI employee that were approved by you through the approval workflow
- We do not guarantee specific business outcomes, placement rates, or revenue increases
You agree to indemnify and hold harmless Huffman AI Solutions, its officers, employees, and agents from any claims, damages, losses, or expenses (including reasonable attorney's fees) arising from: (a) your use of our services; (b) your violation of these Terms; (c) your violation of any applicable law or third-party rights; or (d) content sent through the AI employee that you reviewed and approved.
- By you: You may terminate your account at any time by notifying us. No cancellation fees apply.
- By us: We may terminate your account at any time for violation of these Terms, with notice.
- Effect of termination: Upon termination, all client data will be permanently deleted within 30 days. You may request a data export before deletion.
- Survival: Sections regarding limitation of liability, indemnification, and governing law survive termination.
These Terms shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of law provisions. Any disputes arising from these Terms or our services shall be resolved in the state or federal courts located in Wake County, North Carolina.
We may update these Terms from time to time. For material changes, we will notify active clients at least 30 days in advance via email. Continued use of our services after changes take effect constitutes acceptance of the updated Terms.
